Automate Airbnb guest messages with clear approvals
Start with reviewed drafts and narrow templates before allowing automatic sends.
Choose routine messages
Prepare separate templates for arrival instructions, checkout and a mid-stay check-in. Review property-specific details such as entry methods and quiet hours. Avoid including sensitive access details earlier than needed.
Define the approval boundary
Keep unusual requests, complaints, refunds and safety issues with a person. Document which templates may be sent automatically and which always require review. Confirm actual product settings before enabling a workflow.
Handle timing and changes
Use the property timezone and test what happens after a cancellation, changed arrival or shortened stay. Make sure an outdated instruction is not sent because it was scheduled before a booking changed.
Run a dry rehearsal
Use a test booking or draft preview. Check the recipient, content, timing and stop control. Review the message log after enabling any template and keep a named human responsible for exceptions.
